Rockit Hub — Mobile App (iOS & Android)

Overview

Rockit Hub is an internal mobile application built for employees of Rockit Event Production Ltd. It provides staff with tools for managing jobs, job photos, timesheets, parking requests, PCNs, purchase orders, tasks, and venue information.

Who can use this app

Rockit Hub is not available to the general public. Access requires a staff account created by a company administrator. Only authorised employees of Rockit Event Production can log in and use the app.

What data is collected

The app collects and processes the following information:

• Authentication credentials — email address and password, managed by Firebase Authentication
• User profile — name, role, and account settings stored in Cloud Firestore
• Job and event data — job numbers, venue details, crew assignments, and checklist progress
• Timesheet data — shift times and approval status
• Job photos and videos — photos and videos you upload to a job, with any caption, the stage and area you file them under, your name, and when they were taken and uploaded. Location is removed before upload (see Photos and videos below)
• Parking requests — location numbers, van details, duration, and optional photos
• PCN reports — details of the penalty charge notice, and any photos or documents you attach
• Purchase order requests — supplier details, cost information, and approval status
• Task data — task titles, descriptions, comments, and completion status
• Push notification tokens — to deliver notifications about approvals and reminders

No data is collected from users who are not logged in. The app does not track your contacts or browsing activity. Your location is used only on your own device (see Location below) and is never collected by us, including from the photos and videos you upload (see Photos and videos below).

Photos and videos

Phone cameras usually record where a photo or video was taken inside the file. Before a photo or video is uploaded, the app removes that location from it, on your phone, so it never reaches Rockit. The picture or video itself is uploaded at full quality and otherwise unchanged, including the date and time it was taken, which is used to put photos in order. Photos uploaded through Rockit's staff web portal have their location removed in the same way before they are stored. If a location can't be removed from a file, it isn't uploaded.

Job photos and videos, with their captions and your name as the uploader, can be seen by Rockit staff who have access to job photos, in this app and in Rockit's staff web portal. They are used as company records of the work on each job.

Location

The on-site roll call feature can use your device location to remind you to check out when you leave a job site. This is optional and only relevant while you are checked in on site.

Your location stays on your device at all times. It is never collected by Rockit, never sent to our servers, never stored, and never shared with anyone — no one can see where you are. It is used only on your own phone, purely as a convenience to prompt you to check out. Location is also removed from photos and videos before they are uploaded (see Photos and videos above).

So that the reminder still works after you have left the site (when the app may be closed), the app uses location in the background. Location is entirely optional: you can decline or turn it off at any time and the app keeps working — you simply won't receive the location-based check-out reminder.

How data is used

All collected data is used solely to provide Rockit Event Production's internal operational tools to its staff. Data is processed through Rockit's Firebase backend (Cloud Firestore, Cloud Functions, Firebase Storage) to display relevant job information, store and organise job photos and videos, manage timesheets, handle parking, PCN and purchase order requests, and send push notifications for approvals and reminders.

Data sharing

No data is shared with, sold to, or disclosed to any third parties. All data is processed solely on Rockit's own infrastructure (Google Firebase, Cloud Functions, Firebase Storage). The app communicates with CurrentRMS (Rockit's rental management system) via server-side Cloud Functions only — no third-party APIs are called directly from the app.

Data storage

All data is stored in Google Firebase services (Cloud Firestore and Firebase Storage) hosted in the EU. Authentication tokens are stored securely on the device. Job photos and videos, and photos uploaded with parking requests and PCN reports, are stored in Firebase Storage. Job photos and videos are kept as company records of the work on each job; other data is retained for as long as the employee account is active.

Permissions

The app may request the following device permissions:

• Camera — to take job photos, and photos for parking requests and PCN reports
• Photo Library — to choose existing photos and videos for jobs, parking requests, PCN reports and your profile picture, and to read when they were taken so they can be put in order
• Add to Photo Library — to save job photos and videos to your phone when you choose Save to Photos (this lets the app add to your library, not read it)
• Push Notifications — to receive approval and reminder notifications
• Location (including background) — used only on your device to remind you to check out when you leave a job site; never collected, sent, or shared
• Internet Access — to communicate with the Firebase backend

All permissions are optional and requested only when the relevant feature is used.

Account deletion

You can request deletion of your account directly from the app via Profile > Delete Account, which will open a pre-filled email to our team. Alternatively, contact your company administrator or email the address below. Upon deletion, your account and personal data (profile information, authentication credentials, and photos you uploaded with parking requests or PCN reports) will be permanently removed from the system. Job photos and videos are company records of client work and are kept; on request, your name can be removed from the ones you uploaded.
